Privacy Policy

Pleasant Oak Solutions LLC ("Pleasant Oak," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect on pleasantoak.solutions and pleasantoaksolutions.com (together, the "Site"), how we use it, and the choices you have.
1. Who we are
Pleasant Oak Solutions LLC is a California limited liability company with a mailing address at 30650 Rancho California Rd, Suite D406-520, Temecula, California 92591. Questions about this policy can be sent to mail@pleasantoaksolutions.com.
2. Information we collect
We collect the following categories of information:
- Information you give us. Name, email address, phone number, business name, website URL, and any details you type into a form, message, or checkout — for example, when you request a free website audit, book a consult, download The Almanac PDF, or purchase a paid audit or engagement.
- Client account and billing data. If you become a client, we store the information needed to deliver work: proposals, signed contracts, project files, invoices, and payment records. Card details are handled by Stripe — we never store card numbers.
- Automatically collected data. IP address, browser type, device type, approximate location derived from IP, referring page, and pages viewed. This is standard web-server and analytics data.
- Cookies. Small text files used to keep you signed in to the client portal, remember preferences, and measure aggregate site usage. See Section 6.
3. How we use it
- Respond to audit requests, consult bookings, and messages you send us.
- Deliver, invoice, and support paid work.
- Send transactional email — receipts, audit reports, project updates, and account notices.
- Send follow-up emails about your audit request and, if you opted in, occasional educational content. Every marketing email has a one-click unsubscribe link.
- Detect abuse, prevent fraud, and secure the Site and client portal.
- Comply with tax, accounting, and other legal obligations.
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising as those terms are defined by the California Consumer Privacy Act (CCPA/CPRA).
4. Who we share it with
We share information only with service providers that help us run the business:
- Stripe — payment processing and billing.
- Supabase — database, authentication, and file storage.
- Brevo — transactional and marketing email delivery.
- Google (Search Console, Calendar) — analytics and scheduling.
- Cloudflare / Lovable — hosting, DNS, and CDN.
- Accountants, attorneys, and other professional advisors when necessary.
We may also disclose information if required by law, subpoena, or valid government request, or to protect the rights, property, or safety of Pleasant Oak, our clients, or the public.
5. How long we keep it
- Audit leads and inquiries: up to 24 months from your last interaction, then deleted or de-identified.
- Client records (proposals, contracts, invoices, project files): retained for 7 years after the engagement ends to satisfy tax and legal requirements.
- Marketing email lists: until you unsubscribe. Unsubscribes are honored within a few minutes.
6. Cookies and analytics
We use first-party cookies to keep you signed in to the client portal and remember basic preferences. Analytics and marketing cookies are off by default and only load after you opt in through the cookie banner on your first visit. You can change your choice at any time from the "Cookie settings" link in the footer, or by clearing cookies for this site in your browser. Some Site features (like the client portal) require necessary cookies and will not work without them.
7. Your rights
Depending on where you live, you may have the right to (a) know what personal information we hold about you, (b) request a copy, (c) request correction, (d) request deletion, and (e) opt out of marketing email. California residents have these rights under the CCPA/CPRA. To make a request, email mail@pleasantoaksolutions.com from the address on file. We will respond within 30 days. We will never charge you or deny service for exercising these rights.
8. Security
We use industry-standard measures — HTTPS everywhere, row-level database access controls, encrypted secrets, and least-privilege access — to protect your information. No system is perfectly secure, and we cannot guarantee absolute security. If we ever experience a breach that affects you, we will notify you as required by law.
9. Children
The Site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided information to us, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. Material changes will be posted here with a new effective date at the top. Continued use of the Site after a change means you accept the updated policy.
